Scope and Compliance
The major challenge was to cover 3,447 Defence Estates properties spread over a vast area of North Scotland. The contract for reactive maintenance would need to cover front line and emergency services for MOD family accommodation. Each site needed full engineering back-up with multi-disciplined skills such as: plumbing, decorating, joinery, roofing, electrical installation, electrical testing, pest control, soft furnishing and white goods replacement. A one hour response time for emergency call outs was stipulated.
Negotiated Distribution was the Solution
Strategically placed offices were set up on sites around Scotland, overcoming concerns of excessive travelling times due to adverse terrain: Kinloss in the North, Leuchars and Edinburgh in the East and Helensburgh and Glasgow in the West. Engineers were brought in, vetted and carefully positioned to offer cover for all the different disciplines required.
A centralised helpdesk was set up to cater for the one hour response to tenants for emergency call outs and for all routine work.
An extended supply chain has been established across Scotland to ensure that quality assured standards are maintained throughout the whole process.
What this Achieved
The needs of all tenants are taken care of by one organisation. Close management of all repair and maintenance work allows coordination of work scheduling and effective lines of communication.
Process Monitoring
Interim results show the client is satisfied with the set up and running of the contract. However, the team are constantly reviewing methods and processes with a view to making future improvements.
